Bulk Schedule Instagram Posts — Upload a Month in Minutes

Upload a spreadsheet or a folder of media, assign dates, and SchedPilot publishes every post to Instagram at its scheduled time. Feed posts, carousels, Reels and Stories, one upload. Thirty posts take about ten minutes instead of thirty separate sessions in the app.

Three ways to load a batch

CSV upload. One row per post: media URL or filename, caption, date, time, post type, and optionally a first comment. Download the template from the Bulk Upload screen, fill it in Excel or Google Sheets, upload it back. SchedPilot validates every row before anything is queued and tells you exactly which row has a problem (a missing image, a caption over 2,200 characters, a date in the past). Fix it, re-upload, done. Drag and drop. If you’d rather not touch a spreadsheet, drop a folder of images and videos into the composer. Each file becomes a draft post. Add captions, then use auto-schedule to spread them across your queue slots, or drag each one onto a calendar day. This is the faster route for a photo dump from a shoot; the CSV is faster when captions already exist somewhere.

Google Sheet or AI agent. For recurring batches, connect a sheet through our native n8n node and new rows schedule themselves. One agency runs approved posts for 20 client brands from a single sheet this way, each row routed to the right client workspace. There’s also a REST API and an MCP server, so Claude or ChatGPT can generate a week of posts and schedule them in one conversation. None of this is required. The visual upload needs zero code. Every Instagram format, with the rules handled

Bulk scheduling is useless if it only does square photos. SchedPilot bulk-schedules:

• Feed posts (single image or video)
• Carousels, up to 10 slides, mixed images and video
• Reels, with cover frame and share-to-feed toggle
• Stories

Instagram’s API is fussy about media. Reels must be 9:16. Carousel slides need matching aspect ratios. Videos over the bitrate ceiling get rejected with an unhelpful error. SchedPilot checks each file against the current spec at upload time and converts what it can (resizing a 4:5 image, transcoding a MOV to H.264 MP4) so the failure shows up in your validation report, not silently at 7am on publish day. One limit we can’t remove: Reels with Instagram’s trending audio can’t be auto-published through any tool, because Meta’s API only accepts audio baked into the video file. Bulk-scheduled Reels with original audio publish automatically. For trending sounds, use reminder publishing and add the audio at post time. Review the whole month before anything goes live

A bulk upload lands in your calendar as scheduled posts, not as a black box. Switch to month view and you see every post on its day. Switch to grid preview and you see how the feed will look once they’ve all published, which is the fastest way to catch three product shots in a row or a colour clash. Row 14 has a typo? Click the post, fix the caption. Two posts landed on the same day? Drag one to Thursday. Client wants Tuesday’s post pulled? Delete it and the rest of the batch is untouched.

If you work with clients or a team, set the batch to pending approval. Every post waits for a sign-off, the approver gets one email with the whole batch, and nothing publishes until they click approve.

Instagram’s own limits, and how to plan around them

Meta caps API publishing at 100 posts per Instagram account per rolling 24 hours. In practice nobody hits that with real content, but if you’re loading a large backlog, spread it across days rather than dumping it all on one date.

You can schedule as far ahead as you like. Instagram’s native scheduler caps out at 75 days and Meta Business Suite has no bulk upload at all, which is the reason most people end up here. A quarter of evergreen content scheduled in one sitting is normal.

Timing is the other thing worth deciding up front. Uploading 30 posts all at 9am wastes most of them. Set queue slots (say, 11am and 6pm on weekdays) and let auto-schedule fill them, or check the best time to post for your audience and stagger accordingly.

The same batch, to more than one account or platform

Managing several Instagram accounts? Select them all before upload and each row goes to every account you ticked. Bulk upload is included on every plan from $21/month. There’s no post cap that makes batching expensive and no separate tier that unlocks CSV import. Some competitors charge extra for exactly this feature; we think that’s backwards, since batching is the whole point of a scheduler.

Frequently asked questions

How many Instagram posts can I bulk schedule at once? As many rows as your CSV has. Meta’s API limit is 100 published posts per account per 24 hours, so spread a large backlog across multiple days.

Do I need a Business or Creator account? Yes. Personal Instagram accounts can’t be published to through the API by any tool. Switching is free and takes a minute in Instagram settings.

Can I bulk schedule carousels and Reels, or just single images? All four formats: feed posts, carousels (up to 10 slides), Reels and Stories. The post type is a column in the CSV.

What happens if one row in my CSV is wrong? Validation flags the row and the reason before anything is scheduled. The rest of the batch imports normally; you fix the flagged rows and re-upload just those.

Can I edit posts after a bulk upload? Yes. Every post is editable in the calendar until it publishes: caption, media, time, accounts.
